Academic and Student Administration
The Academic and Student Administration (ASA) Division is the administrative backbone of the University of Papua New Guinea. Headed by the Deputy Registrar (Academic), the Division coordinates the full academic life cycle of every student — across all five Schools and the Open College — from first enquiry through to graduation.
Working hand in hand with the Schools, the Bursary, and the Department of Higher Education, Research, Science and Technology (DHERST), the ASA Division safeguards academic integrity and policy compliance, maintains the official student record on the University’s student information system (Academia ERP), and ensures every stage of a student’s journey is administered fairly, accurately, and on time.
What the Division Does

Admissions
Processing applications and offers for school leavers and non-school leavers across all Schools and the Open College, including outreach and awareness for prospective students.
Registration & Enrolment
New enrolments, re-enrolments, programme changes, and withdrawals each semester — including course registration, add/drop, and confirmation of enrolment on the Academia ERP student information system.
Assessments & Examinations
Coordination of continuous assessment, preparation of examination materials, and the scheduling, invigilation, and conduct of end-of-semester examinations across all campuses.
Final Grade Endorsement
Receiving, checking, and endorsing final semester grades from the Schools before results are released to students.
Transcripts & Records
Maintaining the official academic record and issuing transcripts, statements of results, enrolment letters, and certificates of completion. Allow 5–10 working days for processing.
Progression
Determining each student’s eligibility to progress to the next semester or year of study based on endorsed results.
Withdrawals, Exclusions & Terminations
Administering voluntary withdrawals, academic exclusions, and terminations in line with University statutes and academic policy.
Academic Discipline
Coordinating academic disciplinary processes, including matters of examination misconduct and academic integrity.
Graduation
Final eligibility checks, conferral of awards, and coordination of the annual graduation ceremony for all qualifying students.
Class & Examination Timetabling
Producing the class timetable and the examination timetable, and managing examination venues and materials each semester.
Student ID Cards
Production and replacement of student identification cards.
Scholarships & Student Finance (DHERST)
The Division is the University’s liaison point with the Department of Higher Education, Research, Science and Technology (DHERST) on matters of student sponsorship and finance. This includes the Tertiary Education Student Assistance Scheme (TESAS) — covering AES (Academic Excellence Scholarship) and HECAS (Higher Education Contribution Assistance Scheme) awards — and the Higher Education Loan Programme (HELP).
The Division confirms enrolment and academic standing to DHERST so that eligible students continue to receive TESAS and HELP support, and works with the Bursary on the application of these funds to student fees.
