Venue & Conference Hire

Lecture theatres, conference rooms and function spaces on the Waigani and Taurama campuses, available to hire for conferences, workshops, launches, examinations and ceremonies.

Why Hire at UPNG

The University sits ten minutes from the government precinct at Waigani and has hosted national conferences, professional workshops and public ceremonies for sixty years. Hirers get purpose-built teaching spaces — tiered seating, fixed projection, reliable power — on a secure, gated campus with parking on site.

Hire income goes back into maintaining the same buildings our students learn in, which is why concessional rates are offered to schools, churches and registered non-profit organisations.

Rates are indicative and are confirmed in writing on quotation. Schools, churches, registered NGOs, University clubs and student bodies are charged the concession rate. Bookings that run past 6:00pm, or that need extra cleaning, security or power, attract additional charges.

How to Book

Allow at least three weeks for a conference or a function, and a week for a meeting room. Popular dates in the second half of the year go early.

  1. Send an enquiry

Email the Public Relations and Event Management Unit with your dates, the number of people, and what the event is. Tell us if you need catering, extra security or after-hours access.

Include an alternative date — it often saves a week of back-and-forth.

  2. Hold the date and inspect the venue

The unit checks the room against the teaching timetable and the University calendar, and holds it for you for seven days. You are welcome to walk through the space before you commit.

  3. Receive a written quotation

The quotation covers hire, setup, cleaning, security and any equipment, and states the deposit and the cancellation terms. Nothing is charged until you accept it.

  4. Confirm and pay the deposit

Return the signed hire agreement with 50 per cent of the quoted amount. The booking is confirmed when the deposit reaches the University's account.

A refundable damage bond applies to functions and open-air events.

  5. Plan the day

About a week out, the unit confirms the room layout, the equipment, the catering, the parking arrangements and the list of vehicles or guests for the security post at the gate.

  6. Hold your event, then settle

A campus contact meets you on the day and stays reachable throughout. The balance falls due within 14 days, and the bond is released once the space has been inspected.

What a Booking Includes

  • The room set out in your chosen layout, with tables and seating
  • Cleaning before and after the booking
  • Fixed audio-visual equipment where the room has it — projector, screen and PA
  • Campus security presence and a manned gate
  • Parking on campus for your guests
  • A named University contact for the day

Catering, marquees, staging, additional PA and printing are arranged on request and quoted separately.

Conditions of Hire

  • Teaching, examinations and University business take precedence. In the rare case where a booking has to move, the University offers an alternative room or a full refund.
  • The hirer is responsible for the conduct of their guests and for any damage to University property.
  • Events involving alcohol, political campaigning or amplified music after 10:00pm need written approval from the Vice-Chancellor's office.
  • Cancellation more than 14 days out is refunded in full; inside 14 days the deposit is retained.
  • Smoking, betel nut and unauthorised vehicles on lawns and paved areas are not permitted anywhere on campus.
  • The hirer carries public liability cover for functions of more than 200 people.

Booking Enquiries

Venue and conference bookings are handled by the Public Relations and Event Management Unit, which also runs the University's own events.
